Billings Policy

HelloDoc clinicians provide telepsychiatry and telepsychology services via online video conference call. Following the consultation, a report is sent to the referring doctor, this may take up to a couple weeks.

The Consultation

All services are delivered via an online video conference call.

You can attend the video conference session either alone, with family or supportive friends or with your referring doctor.


We are a private billing practice. Our administration team will help you understand the cost of our service prior to your attendance. All appointments including complex assessments such as Attention-deficit/hyperactivity disorder (ADHD), attention deficit disorder (ADD) and Autism spectrum disorder (ASD) are charged at our private fee rate. The private fee must be paid prior to the appointment but Medicare rebates are available.

Patients who do not have a Medicare Card, or the assessments which can not be rebated by Medicare, will be charged privately. Full payment is required at the time of booking.

One day prior to your appointment you will receive an SMS reminder as well as an email reminder with a video link to your appointment. If you would rather not be emailed or receive SMS reminders please contact the administration team admin@hellodoc.com.au to discuss an alternative.

Rescheduling or Cancelling

We use the highest quality practitioners who book out in advance. We reserve appointment times especially for you and need to reschedule with a waiting patient if you cannot make it.  Rescheduling or cancelling an appointment must be done 2 business days prior to the scheduled appointment.

Rescheduling/cancelling an appointment more than 2 business days prior to the scheduled appointment, depending on the circumstance, may attract an administration fee of $25 (plus card surcharge).

Rescheduling/cancelling an appointment less than 2 business days prior to the scheduled appointment will attract a fee of $180 (plus card surcharge).

Deposit fee for some appointments, like complex reports and some complex assessments might be non-refundable if cancelled.   

The fees will be deducted from the debit/credit card used at the time of booking.

Failure to Attend

A non-attendance fee of $180 plus card surcharge applies if you fail to attend your appointment.

The fees will be deducted from the debit/credit card used at the time of booking.

Outstanding Debts

Any outstanding debts will be registered against your name and reported accordingly.


Following your consultation, a report will be sent to your referring doctor. Please allow a couple of weeks for this to occur.

Requests received after your consultation to send the report to another practitioner will attract a $40 administration fee.

Prior to transferring the report, you will be asked to complete our Consent to Transfer Form and to authorise the $40 administration fee be charged to your debit/credit card.
